Cancellation & Refund Policy

At The Zen State Mind, each session is intentionally prepared and reserved specifically for you.
To honour both your time and mine, please read the following booking policy carefully.

Cancellation & Refund Policy

Private Sessions
Appointments may be rescheduled with a minimum of 24 hours’ notice.
Where at least 24 hours’ notice is provided, clients may choose to:
Reschedule their session at no additional cost, or
Request a partial refund of 80% of the session fee, with 20% retained to cover administrative, preparation, and booking costs.
Cancellations made within 24 hours of the scheduled session, missed appointments, and no-shows are generally non-refundable and non-transferable.

Group Sessions
Due to limited spaces and live facilitation, group session bookings are generally non-refundable.
Where at least 24 hours’ notice is provided, transfer to a future group session may be offered where appropriate.

Late Arrivals
Private Sessions
If you arrive late to a private session, the session will still conclude at the originally scheduled time to honour existing bookings.
Group Zoom Sessions
Group sessions begin promptly to protect the shared experience and energetic flow of the space.
A grace period of approximately 5–10 minutes may be available at the beginning of the session while introductions and settling in take place.
Participants will receive a reminder message prior to the session. If you are running late, please respond to the reminder message as soon as possible to confirm attendance.
Once the sound journey has commenced, late entry may no longer be possible, as the facilitator will be fully present in holding the space and may not be available to admit participants.
If no communication has been received by approximately 10 minutes after the scheduled session start time, the booking may be considered a no-show.
Late arrivals, missed sessions, and no-shows are generally non-refundable and non-transferable.

Practitioner Cancellation
If a session must be cancelled by The Zen State Mind, clients will be offered either:
A full refund, or
A rescheduled appointment at a mutually suitable time.

Compassionate Circumstances
Genuine emergencies or unforeseen circumstances may be considered at the discretion of The Zen State Mind.
